RunTheShire Term and Conditions
The terms and conditions detailed below apply to all persons participating in any activity organised by RunTheShire. Completion of an entry form or purchase of any entry to any activity by participants acknowledges the acceptance of these terms and conditions by the participant.
Activities may include, but are not limited to, run coaching (group and 121), guided trail runs, workshops, weekly social runs and courses.
The participant is fully responsible for their actions whilst attending any RunTheShire activity. RunTheShire does not accept responsibility for the actions of the participant, nor the consequences of such actions. Each participant upon entering our activity/s agrees that they are physically and mentally capable of completing the route they have signed up to do. If during the activity they decide to change their route, they do so at their own risk and must inform a member of the RunTheShire team on their return.
RunTheShire activities are open to participants of age 18 or over. Evidence of age may be requested. Participants under the age of 18 will not be allowed to participate in any activities. All activities are ran completely at your own risk, RunTheShire will not accept responsibility or liability for any loss, damage or injuries that arise during an activity.
The participant confirms that the kit they have chosen to wear during the event is suitable and worthy to complete the longest route irrelevant if this is the chosen route or not.
During the events, there will be instructions given by run leaders at appropriate times throughout the route, it is the decision of the participant to decide whether to continue on a section or not. Due to the nature of trail running activities, some of the terrains will be uneven or slippery. This can also be true of inclement weather when running on roads, and runners should be aware of this risk. It is down to the participant to decide whether they will proceed on that section or not.
On any activity RunTheShire reserves the right to shorten or adjust the published route at any time. Participants do not have the right to claim a refund if the route has been shortened.
Participants must be considerate to other users of bridleways, footpaths, or byways. Upon seeing other users, such as walkers or horse riders, participants are required to pass with care. Where appropriate participants should stop and wait at the side of the track to allow other users to pass safely.
Participants must be respectful of and follow the Countryside Code, and especially leave no trace – please don’t litter.
Each participant is fully responsible for any fees or costs incurred arising from an accident. This involves, but is not exclusive to police, air ambulance, fire and rescue, the ambulance service and mountain rescue. If it arises that the participant is not able to make the decision to call the emergency services, they agree that a member of the RunTheShire team or a member of the public may call for them. In this incident, the participant still accepts any associated cost incurred and the consequences of such actions.
Unless expressed in writing to RunTheShire, each participant agrees to assign and grant the right and give permission for RunTheShire to use and publish any photographs, films, or videos on any RunTheShire activity. The participant hereby releases RunTheShire from any and all liability from such use and promotion. The participant hereby authorises the reproduction, sale, copyright, exhibit, broadcast, electronic storage, and distribution of said photograph or video without limitation at the discretion of RunTheShire. The participant specifically waives any right to the compensation they may have for appearing in any of the photographs or videos at a RunTheShire activity.
To join a RunTheShire activity all participants must complete the health and safety ‘ready to run’ form when booking. The form also includes emergency contact details. If a participant arrives to a run without having completed this form they will not be able to join in the activity, even if payment has already been made.
Social Runs: If RunTheShire have to cancel the run we will issue a refund. If you need to cancel you can do this by logging into your account and amending your booking. A credit will be issued to use on a future run which you can book at your convenience. Please cancel your run no less than 48 hours in advance so your spot can be reallocated to the waiting list. If you cancel after this time you wont receive a refund/credit.
Guided trail runs and Face2Face Coaching Sessions: RunTheShire reserves the right to cancel any activity due to extreme weather conditions. In such an event, each participant’s entry will be transferred to a rescheduled date. If a participant cannot make the new date, every effort will be made to find a date that suits. No refunds will be issued. If a participant needs to cancel please let RunTheShire know no less than 72 hours in advance so your space can be reallocated to the waiting list for guided trail runs, or for Face2Face coaching sessions to find an alternative date that suits. A credit will be issued to use on a future run which you can book at your convenience. If you cancel after this time, you won’t receive a refund/credit.
Please note, for Face2Face coaching sessions a pre-agreed surcharge will apply for any locations further than a 30-minute drive from central Worcester (WR1). Full payment is required on booking.
Learn to Run30: Once you are signed up and have paid for your course you will receive an email from RunTheShire confirming details of your booking. In this email you’ll also receive a link to complete a ‘Learn to Run’ form – it is really important you complete this form, as without it you won’t be able to join the course, even if you’ve already paid.
Please note – a minimum of 8 runners signed up are needed to go ahead with the course. If there are any less then unfortunately I won’t be able to hold the course and you will receive a full refund.
121 – Run Coaching
I understand that by registering for RunTheShire 121 run coaching, I agree to the following terms and conditions:
Athlete
I will declare all medical conditions to my coach and understand that I am responsible for my fitness to participate in any training advised by RunTheShire
I understand that it is my responsibility to inform my coach of any changes to my health which could affect my ability to exercise. This includes any niggles or injuries sustained. I agree to seek a medical professional’s advice with any concerns.
I acknowledge that RunTheShire coaching does not guarantee that I will complete my desired event or personal goal.
I understand that personal accident and personal item insurance are my own responsibility.
Coach
Your coach agrees to use her training and knowledge to develop a safe, structured training plan that will take into account your personal goals, fitness level, medical history and lifestyle.
Your coach will be committed to helping you reach your goals.
The coach will ensure that everything agreed upon in your initial meeting is put into writing and supplied to you.
RunTheShire accepts no liability for any damage, injury or loss suffered by me or to me, the athlete, or to any other person, or to any property in connection with the coaching advised or otherwise.
Payments, cancellations and refunds
I understand it is my responsibility to set up and pay a monthly subscription payment via the RunTheShire website, the subscription will auto renew on the same date each month.
All RunTheShire coaching programs are valid from registration until cancelled by the athlete or coach in writing or by email.
A minimum payment of one month must be made upon agreement of starting coaching; your coach will then begin developing your plan.
I understand that all monthly fees are non-refundable, even if I drop out of the event I am training for or get sick or injured.
I understand that I, the athlete, am responsible for cancelling any standing orders to RunTheShire if I no longer require coaching, and no refunds will be made to any payments made, and I agree to give RunTheShire give 30 days’ notice that I will be cancelling my coaching.
If an athlete takes a break from coaching but comes back within 90 days, they can return at their current coaching fee; however, if the break is more than 90 days and the RunTheShire coaching fee has increased, the new fee will apply. The exception to this term is athletes returning after having a baby, where this is extended to one-year post birth.
During this 90-day period, RunTheShire any medical information you have provided will be retained for a period of 90 days after you cancel or pause your coaching, facilitating an easy restart should you decide to resume after a break. After this 90-day period, all personal data will be either destroyed, erased, or anonymised. If you choose to return as an athlete, you will be treated as a new athlete and need to provide your details again and reconnect with the RunTheShire team via the training platform used. Rest assured that RunTheShire will maintain the confidentiality of your medical details.
I understand that if my coach can no longer coach me, I have a right to request a full refund for any unfulfilled coaching.
RunTheShire reserves the right, at any time, to refuse to coach if the athlete has acted negligently, abusively, maliciously, with wilful misconduct or otherwise without due care and attention to the coach. No refund will be given in this instance.
RunTheShire has the right to update these terms and conditions at any time. RunTheShire agrees to inform you of any changes to coaching terms and conditions. If you disagree with the new terms and conditions, you have the right to cancel your coaching agreement.
By agreeing to these terms, you also agree to the RunTheShire Privacy Policy.
